Prepare a shipping brief

Give logistics partners enough information to assess collection, packing, route options and the delivery handoff for your actual goods.

Discuss your shipment

1. Describe the goods

List the products, quantities and current condition. Identify anything that may affect handling or shipment assessment, such as batteries, liquids, fragile parts or oversized pieces. Share available product information so the logistics provider can assess the actual shipment.

2. Identify each collection point

Give the supplier or collection location and the expected ready date. For several suppliers, separate the quantities and readiness of each batch. Explain who can confirm that the goods are ready and who will authorize collection.

3. Share packing details

Use actual packing information when available and label estimates clearly. Updates can affect the proposed route or cost.

  • Number and type of cartons, pallets or other packages.
  • Dimensions and weight for each package type.
  • Protective packing, stacking or handling requirements.
  • Available packing list and photographs of the packed goods.

4. Define where the service ends

Share the destination country, city and postcode or delivery point when known. State whether you need delivery to a port, terminal or address. Identify who will handle destination formalities, local delivery and unloading; responsibilities must be confirmed for the selected arrangement.

5. Explain timing and open questions

Distinguish a preferred departure date from a required arrival date. Mention incomplete supplier information and your main priority. Route availability, transit estimates and costs need confirmation against the actual shipment.

6. Send one organized brief

Illustrative structure: goods → collection points → readiness → packing → destination → timing → requested support. This is a suggested template. Add your email and any optional phone or WhatsApp details, then ask which information is still needed for a usable quotation.
